When you exhibit, it gives you the opportunity to meet symposium attendees, share your products or services,
and build lasting relationships.
All exhibitor registrations and added representatives includes access to the NSSBY two-day Concurrent Sessions.
It is highly encouraged for all exhibitors to wear the NSSBY name badge throughout the event.
Our shared goal with your is to promote healthy relationships and effectively prevent, identify, monitor, educate, and treat problematic sexual behavior of youth.

Exhibit Layout and Schedule
Exhibit tables will be located in the hallway by the NSSBY registration desk and concurrent sessions, serving as the central location for break tables and foot traffic.  Exhibit space and move-in time may be subject to change.
All exhibitors are expected to set-up on Monday and to remain in place for all exhibit hall open hours.  The preliminary schedule for exhibits is:

Eligibility

NSSBY reserves the right to determine the eligibility of any exhibit for inclusion in the symposium.  The acceptance of an exhibit does not constitute NSSBY's endorsement of any company/organization's products, goods, or services.

Assignment of Space

Exhibit space assignment will be made by NSSBY. Space assigned will depend on amount of space requested and availability. NSSBY reserves the right to rearrange the floor plan and to relocate any exhibit at any time prior to the opening of the symposium. Exhibitor is asked to confine materials to the assigned space, regardless of another vacant space. Exhibitors are asked to not leave assigned space vacant, rather keep materials available and restocked throughout event. Distributing material outside of the exhibitor space is not permitted. Exhibitor may not bring in additional tables or chairs to the symposium exhibitor area. Food and beverage is not permitted to be distributed. Candy is acceptable. Audio shall be kept to a level that does not disturb others.

Sub-letting Space:

Exhibitor may not assign, sublet or apportion the whole or part of the assigned space to any other representative, business, company or organization.

Refund and Cancellation Policy:

Cancellation of the exhibitor registration must be made in writing by January 15, 2025 to receive refund, less a $75.00 administrative service charge. No refunds will be given if the exhibitor fails to attend. In the event the symposium is cancelled, 100% of the exhibitor fee will be refunded.

Shipping Exhibitor Materials to Venue

Due to limitations in secured storage space, the Hotel will only accept packages as follows:

Boxes/packages may be sent for arrival a maximum of 48 hours prior to group arrival and will be marked with the responsible party’s name, Group name, plus “Hold for Arrival Date of Monday, February 24, 2025"

There will be a handling charge as follows:

  • Boxes up to 36" x 24" x 24"   $5.00 per box
  • Larger boxes/display cases   $10.00 per box
  • Pallets                                    $150.00 per box

Charges will be the responsibility of the individual exhibitor upon receiving of packages. Additional labor charges

may be incurred depending on the size of the shipment, at the discretion of the Hotel. Hotel will not be responsible for

any shipping charges, damages or loss to any packages or boxes.
